Job Title: Administrative Assistant - Real Estate
Primary Function: The Administrative Assistant will actively contribute to the department and organization by providing comprehensive administrative support and actively participating in strategy and decision-making processes. Coordinates communication, manages calendars and facilitates efficient operations, thereby enabling the Director to focus on strategic initiatives, critical decision-making, and driving the overall success of the department and organization.
Duties and Responsibilities

Manage property development documents

Provide administrative support to the leadership of multiple departments in day-to-day operations.

Oversee administrative policies within the Department of Asset Management and Real Estate Development, recommending changes as appropriate.

Prepare reports, and collect and analyze information for business presentations, both for departmental and inter-departmental functions.

Develop and utilize historical information; provide for the retrieval of information.

Record and document meeting discussions and provide meeting minutes.

Meet with special interest groups, stakeholders, local officials, or customers on behalf of both the departments, and also Foxconn Wisconsin, if needed.

Prepare responses to routine memos, letters, or correspondence from domestic and international teams as needed.

Manage departmental communication with internal departments, vendors, tenants, and municipal officials.

Maintain meetings and daily schedules in a proactive, forward-thinking fashion.

Schedule high-visibility meetings that involve leaders from multiple teams and business groups.

Maintain a calm, collected demeanor in the face of an ever-changing, dynamic environment.

Properly handle information of a confidential nature on a regular basis.

Facilitate strategic sessions with executive and internal leadership, communicating value between HH USA Leadership and Taipei HQ.

Processing department expenses, other payables, and accounting for some receivables
Required Education or Certification
-
Bachelor's degree in business or a related field is preferred; bachelor's or master's degree in real estate, Urban Planning, Communications, or a related field is a plus.
Required Experience and Skills

Bilingual in both Chinese and English; able to read traditional Chinese, communicate with Taipei Corporate Offices

Experience working as an assistant reporting directly to senior management is a plus.

Experience working in a Real Estate organization is a plus.

Advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint, Office 365), with the ability to become familiar with internal-specific programs and software.
