Administrative Assistant – Recovery & Claims Services

Location: Rochester, MN (Hybrid – 50% onsite, 50% remote)
Contract Duration: 12 Months (03/16/2026 – 03/15/2027)
Work Schedule: 40 Hours/Week | Monday–Friday | 8:00 AM–5:00 PM (Flexible 30- or 60-minute lunch option)
Equipment: Company-provided

Position Overview

The Administrative Assistant supports Recovery and Claims Services operations by serving as a departmental resource responsible for call center support and a broad range of administrative and clerical functions. This role requires strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage inbound call center telephone calls
  • Process incoming mail and faxes
  • Perform data entry and triage of forms and reports
  • File legal documentation and establish new cases
  • Route incoming documentation and correspondence appropriately
  • Process authorizations related to employee leave benefits and accommodations
  • Draft and transcribe correspondence and documents
  • Maintain calendars, schedule meetings, and coordinate travel arrangements
  • Prepare reports, meeting agendas, minutes, and presentation materials
  • Process travel and professional expense reimbursements
  • Maintain electronic files, databases, spreadsheets, and departmental records
  • Support departmental projects and operational activities
  • Serve as a resource and mentor to team members when needed

Required Qualifications

  • Associate degree or diploma in Administrative Assistant/Secretarial Studies OR minimum two (2) years of relevant administrative experience
  • Strong grammar, punctuation, and professional written communication skills
  • Proficiency in Microsoft Office and standard office equipment (computer, printer, phone systems, copier/fax, etc.)
  • Ability to prioritize and manage multiple tasks simultaneously
  • Strong organizational, interpersonal, and customer service skills
  • High attention to detail with strong decision-making and follow-through
  • Ability to adapt to a dynamic work environment
  • Typing speed of 60 WPM preferred
  • Experience with clerical and secretarial software preferred

Job Type: Contract

Pay: $16.00 - $21.00 per hour
