Administrative Assistant / Secretary Receptionist

We are seeking a dynamic and highly organized Administrative Assistant / Secretary Receptionist to join our team! Duties

  • Greet visitors and clients warmly, providing exceptional customer service at the front desk
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records
  • Maintain calendars and schedule appointments for staff or executives, ensuring smooth time management
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, reports, and documentation
  • Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Assist with office management duties such as supply ordering, mail distribution, and maintaining a tidy workspace

Qualifications

  • Proven office experience with strong clerical skills and familiarity with administrative procedures
  • Excellent computer literacy including proficiency in Microsoft Office, Google Workspace, and data entry skills
  • Experience with multi-line phone systems and phone etiquette to handle inquiries professionally
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Previous experience as a receptionist, medical or dental receptionist, or personal assistant is a plus
  • Knowledge of bookkeeping software like QuickBooks is advantageous but not required
  • Demonstrated customer service skills with a friendly demeanor and professional appearance
