Administrative Assistant - Sponsored Programs

Job Purpose

Under general supervision of the Director of Sponsored & Title Ill Programs, provides administrative support in matters relating to federal and state grant and contract management at the institution.

Job Responsibilities

  • Performs routine office management and maintenance files, supplies, communications, equipment, inventory, forms, office, and inter-office matters.
  • Provides administrative support to the Director of Sponsored Programs for data maintenance and registrations, travel, scheduling, and general operations.
  • Maintains grants database, compliance records, correspondence and files.
    Receives and routes or distributes grant notices and documents, funding opportunities, newsletters, correspondence, and approval documents.
  • Assists with website maintenance, correspondence, and office/department publications.
    Prepares ad-hoc status and other reports, researches and disseminates funding opportunities, policies and procedures for the Director to various College stakeholders.

Minimum and Additional Requirements

High School diploma and work experience that is directly related to the area of employment. Bachelor's degree may be substituted for the related work experience.

Additional Comments

Thorough knowledge of principles and practices of grant award management, thorough knowledge of modern office practices, including the use of equipment, and working knowledge of word processing and data processing. The ability to carry out complex oral and written instructions. Ability to use all Microsoft Office platforms, including Word, Excel, PowerPoint, Teams, and Forms.
Valid driver's license required. Must be able to move up to 25 lbs. Professional appearance and quality interpersonal skills are essential.
