Job Title: Administrative Assistant – Tax Controversy, SBA Defaults & Tax Preparation
Location: Clearwater (local candidates preferred for in office mail handling)
Employment Type: [Full-time]
Compensation: 20-25 an hour depending on experience
About the Firm
We are a growing tax resolution and tax preparation firm specializing in IRS and state tax controversy matters, SBA loan defaults, and related federal and state debt resolution. Our practice includes Offers in Compromise, penalty abatements, audits, installment agreements, CNC status, and compliance filings for individuals and businesses.
We are seeking a highly organized and detail‑oriented Administrative Assistant who can thrive in our deadline‑driven, results‑focused environment and take ownership of their work to help keep cases moving efficiently.
Position Overview
This is not a passive administrative role. This position plays a direct role in moving cases forward and supporting active tax resolution and SBA matters.
The ideal candidate is highly organized, follows instructions precisely, manages their workload independently, and consistently completes tasks without needing repeated direction or follow-up.
Key Responsibilities
Tax Controversy & SBA Default Support
· Prepare, organize, and assemble submissions for IRS, state taxing authorities, and SBA/DOJ/Treasury-related matters
· Assist with SBA loan default cases, including document collection, financial statements, hardship narratives, and settlement packages
· Track IRS, state, and SBA/DOJ correspondence, notices, and deadlines
· Upload, download, and organize IRS transcripts and client financial documentation
· Assist with Forms 433-A, 433-B, 656, and SBA-required financial statements
· Maintain case status notes and workflow tracking in firm systems
· Communicate professionally with clients regarding document requests and case updates
Tax Preparation Support
· Assist with intake and organization of individual and business tax returns
· Scan, organize, and bookmark tax source documents
· Input and verify client data in tax preparation software (as appropriate)
· Track missing information and follow up with clients
· Ensure completed returns are reviewed, signed, and filed timely
Administrative Duties
· Manage digital and physical client files
· Schedule appointments and manage calendars
· Maintain secure handling of sensitive financial and tax information
· Assist with billing, engagement letters, and administrative correspondence
· Support attorneys, EAs, and CPAs as needed
Qualifications
· Prior experience in a tax resolution, tax controversy, SBA default, or CPA/EA firm strongly preferred
· Working knowledge of IRS collections, notices, and forms
· Familiarity with SBA loan default processes, federal debt collection, or Treasury Offset Program a plus
· Experience with tax preparation workflows for individuals and small businesses
· Strong organizational skills and attention to detail
· Ability to manage multiple cases and deadlines simultaneously
· Excellent written and verbal communication skills
· Proficiency with Microsoft Office and document management systems
· Experience with tax software and IRS transcript systems (e.g., TDS) a plus
Preferred (but Not Required)
· Experience with Offers in Compromise, audits, CNC, or appeals
· Experience with SBA hardship packages or settlement negotiations
· Bookkeeping or payroll knowledge
· Prior experience handling sensitive or confidential financial information
Requirements
· A personal cellphone with reliable service
· A dedicated work space for your remote officer
· MANDATORY - Reliable internet – with at least 100 Mbps download and 10-20 Mbps upload
· Strong communication and presentation skills.
· Ability to work the required core hours.
· Strong computer literacy.
