BAC Certified Public Accountants is seeking a dependable, detail-oriented Administrative Assistant to support our front desk operations and tax preparation team. This role is essential during tax season and remains a key part of our team year-round.
The ideal candidate is organized, professional, comfortable working in a fast-paced environment during tax season, and enjoys supporting both clients and staff. The Primary Purpose of this position is to provide administrative support including preparing correspondence, reports, assembly, billing, and general office support activities.
You’d be preforming the following tasks:
Front Desk & Client Support
- Greet clients in a professional and welcoming manner
- Answer and route incoming phone calls
- Schedule appointments and manage calendars
- Process incoming and outgoing mail
- Maintain clean and organized reception area
- Assisting clients in getting great answers with positive experience
Tax Season Support (January–April)
- Assemble completed tax returns (paper and electronic copies)
- Organize client documentation
- Scan and upload tax documents
- Track return workflow and ensure timely delivery
- Assist preparers with administrative tasks
- Work extended hours as needed during peak season
Year-Round Office Support
- Maintain client files and records
- Assist with billing and light bookkeeping tasks (if applicable)
- Provide general administrative support to partners and staff
- Produces correspondence, reports, and other documentation; file documents, maintain and track tasks, sends and receives facsimile transmissions, etc.
- Provides back-up telephone support for departments when needed
- Process invoices and billings; and maintains records
- Maintain CPE tracking and classes, work with team on updated research material
- Maintains adequate supply inventory; orders supplies as needed.
- Performs other duties as assigned.
Qualifications
- Prior administrative or office experience preferred
- Experience in a CPA firm or tax office is a plus
- Strong attention to detail
- Excellent organizational skills
- Professional communication skills (in person and on phone)
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to handle confidential information responsibly
- Willingness to work extended hours during tax season
- High school diploma or GED required., Associates Degree Preferred
- Excellent oral and written communication, including presentation skills
- Analytical and interpretive skills
- Good interpersonal skills
- Ability to work in a team environment
- Ability to meet or exceed Performance Competencies
Work Schedule
- Full-time, year-round position
- Standard office hours outside of tax season
- Extended hours required during tax season (January–April), including some evenings and possible Saturdays
