Administrative Assistant - Telephone Receptionist

Position Summary
The Medical Office Receptionist plays a key role in ensuring the smooth and efficient operation of the clinic. This position provides front‑line support to patients, healthcare providers, and office staff by managing communications, coordinating appointments, and maintaining accurate records. The receptionist delivers excellent customer service while performing a variety of administrative tasks that keep the medical office running effectively.

Key Responsibilities

  • Greet patients and visitors in a friendly, professional manner; assist with check‑in and check‑out procedures.
  • Answer incoming phone calls, respond to inquiries, and route calls to appropriate staff.
  • Schedule, confirm, and update patient appointments using the Electronic Medical Record (EMR) system.
  • Process referrals, obtain necessary authorizations, and coordinate with outside providers as needed.
  • Monitor and manage the clinic’s fax inbox; distribute documents to the appropriate personnel.
  • Scan, upload, and organize patient documents in the EMR to ensure accuracy and completeness.
  • Maintain patient accounts, records, and demographic information.
  • Assist with insurance verification and basic billing tasks when applicable.
  • Support office staff and clinical team members with general administrative duties.
  • Perform additional tasks as assigned to support the overall operations of the clinic.

Qualifications

  • High school diploma or equivalent required; additional administrative or medical office training preferred.
  • Previous experience in a medical office or customer service role strongly preferred.
  • Proficiency with computers and EMR systems (training available).
  • Strong communication, organizational, and multitasking skills.
  • Ability to maintain patient confidentiality and uphold HIPAA guidelines.
  • Friendly, professional demeanor with a commitment to quality patient care.

Job Type: Full-time

Pay: $16.50 - $21.00 per hour
