Job Summary
We are seeking a proactive and highly organized Administrative Assistant to support the Campus Director in managing daily operations and ensuring smooth administrative workflows. This vital role involves providing comprehensive executive administrative support, coordinating projects, managing calendars, handling correspondence, and maintaining office efficiency. Duties
- Provide high-level administrative support to the Campus Director, including managing calendars, scheduling meetings, and coordinating appointments using Microsoft Outlook Calendar and Google Workspace.
- Handle incoming calls with professionalism, utilizing multi-line phone systems and practicing excellent phone etiquette to direct inquiries appropriately.
- Assist with event planning for campus activities, workshops, and meetings by coordinating logistics, preparing materials, and ensuring timely execution.
- Maintain accurate records through data entry, filing, and document management using Microsoft Office tools and DocuSign for electronic signatures.
- Support bookkeeping and basic financial tasks using QuickBooks, including invoicing, expense tracking, and petty cash management.
- Perform clerical duties such as proofreading documents, transcribing notes, managing correspondence, and organizing files to ensure clarity and accuracy.
- Serve as a front desk representative by greeting visitors, answering questions, providing information about campus services, and maintaining a welcoming environment.
- Assist with office management tasks such as supply inventory control, maintaining office equipment, and ensuring the workspace is organized and efficient.
- Support project coordination efforts by tracking deadlines, preparing reports, and communicating with team members to facilitate smooth project execution.
Skills
- Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with Microsoft Outlook Calendar.
- Strong typing skills combined with excellent proofreading and transcription abilities for accurate document preparation.
- Experience with office management systems such as QuickBooks for bookkeeping tasks.
- Demonstrated experience in executive administrative support or personal assistant roles within an office setting.
- Knowledge of event planning logistics from conception through execution.
- Excellent customer service skills with professional phone etiquette on multi-line phone systems.
- Ability to handle confidential information discreetly while maintaining professionalism at all times.
- Familiarity with data entry procedures and clerical tasks like filing and record keeping.
