Administrative Assistant to Practice Manager

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to support the Practice Manager in a fast-paced professional environment. This vital role ensures smooth daily operations, manages administrative tasks efficiently, and provides exceptional support to the practice team. The ideal candidate is proactive, detail-oriented, and possesses a passion for delivering excellent service while maintaining a well-organized office atmosphere. The individual should have management skills as when the practice manager is out of office you may have to assist in management duties. Its vital that you possess the ability to multi-task. You will be working with patient memberships so there is a need for great communication skills and ability to feel comfortable explaining memberships.

Duties

  • Provide executive administrative support by preparing correspondence, reports, and presentations with high attention to detail through proofreading and transcription.
  • Handle incoming calls with professional phone etiquette, direct inquiries appropriately, and manage multi-line phone systems to ensure seamless communication.
  • Oversee office management tasks such as filing, data entry, record keeping, and maintaining organized digital and physical files.
  • Support event planning activities including scheduling logistics, preparing materials, and coordinating resources for practice-related events or meetings.
  • Perform clerical duties such as typing documents, proofreading materials, managing office supplies inventory, and supporting front desk operations.
  • Facilitate project coordination by tracking deadlines, preparing status updates, and ensuring timely completion of tasks.
  • Provide personal assistant support to the Practice Manager including travel arrangements, document signing via DocuSign, and other administrative errands as needed.

Skills

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools. Athena EMR. Constant Contact, Zoho Experience a plus.
  • Excellent typing speed combined with transcription and proofreading abilities for accurate document preparation.
  • Strong project coordination skills to manage multiple priorities efficiently.
  • Exceptional calendar management skills using Microsoft Outlook Calendar or similar tools.
  • Effective communication skills demonstrating professional phone etiquette and customer service excellence.
  • Experience with office systems such as multi-line phone systems and front desk operations.
  • Ability to handle confidential information discreetly while maintaining high levels of accuracy in clerical work. Join us in this energetic role where your organizational talents will shine!
