Administrative Assistant to Research and Population Health

Job Summary

Under the joint supervision of the Assistant Dean of Population Health and the Associate Dean for Research, the WCUCOM Administrative Assistant is responsible for supporting the functions of the Office Research and Sponsored Programs, and the Office of Population Health.

Duties and Responsibilities

This job description does not state or imply that these are the only duties to be performed by the employee occupying this position. Duties and responsibilities listed are the essential job function and exclude functions which are incidental to the performance of fundamental job duties.

Following are duties pertaining to both Offices:

  • Assist WCUCOM and WCU in achieving its mission
  • Provide administrative support for all faculty
  • Provide courteous, professional customer service to faculty, students, and visitors
  • Assist in the administration, security, confidentiality and retention of office files
  • Maintain confidentiality regarding all job functions
  • Provide financial transactions support
  • Work with student workers, when appropriate, to complete office work.
  • Order office supplies and maintain office equipment
  • Attend University and professional development events when staff participation is expected (may include overnight travel)

Specific duties pertaining to the Office of Population Health:

  • Support the functions of the Office of Population Health
  • Assist with planning and coordination of population health initiatives, including Interprofessional Education
  • Assist with outreach to community partners to foster network development
  • Assist in planning of special events
  • Other duties as assigned.

Specific duties pertaining to the Office of Research and Sponsored Programs:

  • Generation, distribution, and archiving of agendas and minutes at research committee meetings
  • Maintenance of databases for, and regular reporting of, all COM research and scholarly activities including IRB submissions, grant proposal submissions, student travel awards and summer fellowships, student research electives (OMS3/4), conference presentations, journal publications, and all other scholarly activities
  • Print and distribute student posters for state conferences
  • Other duties as assigned.

Required Qualifications

  • High school diploma and two (plus) years of secretarial/administrative professional job experience
  • Must have prior experience and familiarity with Microsoft Office Professional software (Word, Excel, Outlook, PowerPoint, etc.)
  • Must be punctual and able to work required hours
  • Must have organizational skills and the ability to aid in digitizing previous files
  • Must have the ability to work independently, complete multiple assignments, meet deadlines, exercise good judgment, demonstrate tactfulness and discretion, and maintain confidentiality
  • Must have excellent verbal and written communication skills
  • Must have the ability to solve problems effectively
  • Must have the ability to learn WCU’s student database software

Preferred Qualifications

  • Experience in academic medicine in the areas of population health, and/or medical research
  • Bachelor’s degree in Public Health or related fields

Physical Demands

  • Must have vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone
  • Must have the ability to sit for extended periods of time
  • Must have strength and agility to move files, paper boxes, and minor office equipment
  • Must have the ability to lift and carry 25 pounds
  • Must be able to perform duties in an on-campus setting
