Administrative Assistant to Senior Advisor

Spectrum Planning Group, an established and growing independent wealth management and insurance firm, is seeking a dedicated Onboarding Specialist / Administrative Assistant to play a key support role in helping prospects transition into long-term clients.

About the Role:

You’ll join the administrative support team with a focus on onboarding. Responsibilities include extensive documentation, file notation, and working across multiple specialized software programs.

You will guide prospects through the document submission process, manage compliance and paperwork, and help lay the foundation for long-term client relationships. This is an in-office position that includes direct client contact and strong potential for growth within the firm.

Key Responsibilities:

  • Coordinate new client onboarding from initial paperwork through account setup and follow-up
  • Gather and organize client information and required documentation (financial statements, insurance information, legal documents, etc.)
  • Communicate with clients, CPAs, attorneys, and internal team members to ensure a seamless onboarding experience
  • Assist with insurance applications, including property & casualty (4-40 license preferred)
  • Maintain accurate client records and ensure compliance with industry regulations
  • Proactively follow up with clients and keep them informed throughout the onboarding process
  • Support other administrative functions in a collaborative team environment

Preferred Qualifications (Not all are required, but ideal candidates meet several):

  • Minimum 3 years’ experience in the financial services industry
  • Florida 4-40 Property & Casualty Insurance License
  • Prior experience in a family-office or advisory firm setting
  • Bachelor’s degree in business, finance, or a related field
  • High attention to detail and strong follow-through
  • Excellent organization and communication skills
  • Proficiency with Microsoft Office, CRM systems, and document management tools
  • A professional, positive, and team-oriented attitude
  • Strong moral and ethical compass
  • A desire to grow within a 30-year-old financial planning firm
