Position Overview:
The Administrative Assistant supports the principal and leadership team by managing daily office operations, coordinating schedules and meetings, and handling campus communications. This role helps maintain an organized front office, manages supplies and records, and supports events, staff needs, and campus coordination. The ideal candidate is organized, detail-oriented, and able to multitask in a fast-paced school environment.
Primary Responsibilities:
Administrative & Leadership Support
Provide direct administrative support to campus principals and leadership.
Manage principal calendars such as scheduling meetings, evaluations, and events.
Prepare correspondence, announcements, and campus communications.
Take meeting minutes and maintain documentation for campus leadership meetings, as requested.
Assist with staff meetings, campus events, and planning activities.
Maintain front desk appearance and organization.
Coordination with the purchasing coordinator.
Manage teacher supply requests and office supply inventory.
Manage inventory/storage rooms and campus resources.
Coordinate substitute teacher scheduling to support highest needs and to accommodate meeting coverages throughout the day.
Onboarding with new substitutes, ensuring location of rosters, folders, and materials, when needed.
Communication & Campus Coordination
Maintain campus calendars, event calendars, and internal schedules.
Coordinate school picture days and recognition programs (awards/certificates).
Plan and coordinate services for study trips and after-school programs.
Coordinate with community outreach on any marketing requests and social media updates.
Student and campus monitoring, including hallways, restrooms, and cafeteria spaces
Ensure volunteers and visitors use appropriate check-in procedures, as requested
Data, Records & Systems
Maintain accurate records within school systems (Skyward, Red Rover, & Securly Visitor).
Support the admin team in the submission and monitoring of Help Desk tickets
Maintain facility and events, and the Special Education calendar
Shared Duties with Receptionist
Assist in the receipt of mail, packages, donations, and other items dropped off on campus and distribute appropriately
Answer phones and provide general customer service to families and staff.
Assist student tardy/early pickup processes.
Maintain confidentiality regarding student and staff information.
Process and distribute incoming mail.
Support Receptionist in duties as needed
Professional Requirements:
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
3+ years of administrative or executive support experience
Experience supporting senior leaders (e.g., principal, director, or executive team)
Strong organizational and time management skills with the ability to prioritize competing demands
Excellent written and verbal communication skills
High level of professionalism, discretion, and ability to handle confidential information
Advanced proficiency in Google Suite (Sheets, Docs, Slides, etc.) and calendar management
Ability to manage multiple projects and deadlines with minimal supervision
Preferred Requirements:
Experience in a school or educational setting
Familiarity with student information systems (e.g., Skyward, Red Rover)
Experience coordinating events, meetings, and campus-wide communications
Bilingual (Spanish preferred)
