Overview
Bridges Academy Austin is a small K-12 school located in Steiner Ranch. The school specializes in dyslexia. We are seeking a dynamic and highly organized Administrative Assistant or Executive Assistant to join our educational team. This vital role provides comprehensive administrative support to school leadership, ensuring smooth daily operations and fostering an efficient, welcoming environment. This position offers an exciting opportunity to be at the heart of our school community, contributing to its success and growth.
This position is year-round (12 months), with vacation days built into the calendar, such as two weeks during the winter holidays, a week for Thanksgiving, spring break, and a couple of weeks in the summer.
Responsibilities
- Prepare written correspondence, forms, schedules, checklists, handbooks, newsletters, flyers, etc. using a computer.
- Manage calendars; schedule appointments, meetings, and events with precision and efficiency; schedule repairs and follow-through on making sure they are complete.
- Serve as the first point of contact at the front desk, greeting visitors, students, staff, and parents with professionalism and warmth.
- Handle multi-line phone systems with excellent phone etiquette, directing calls accurately and taking detailed messages when necessary.
- Admissions assistance, such as greeting visitors, giving tours, collecting enrollment paperwork, speaking with prospective parents, and participating in open houses or tabling events.
- Maintain confidentiality per FERPA and HIPAA.
- Oversee office operations including filing, data entry, record keeping, and maintaining organized digital and physical files.
- Coordinate communication across departments by preparing correspondence, proofreading documents, and managing email correspondence.
- Assist with event planning, student record management, and other administrative duties that support school functions.
- Utilize Microsoft Office Suite and Google Workspace tools for document creation, presentations, spreadsheets, and collaborative projects.
- Provide customer service support to students, parents, staff, and visitors by addressing inquiries promptly and professionally.
- Manage office supplies inventory and ensure that all equipment is maintained in good working order.
Requirements
- Proven experience in office management or administrative roles within an educational or professional setting.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Forms), and data entry systems.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Exceptional phone etiquette and customer service skills to handle inquiries courteously and efficiently.
- Ability to manage calendars meticulously while prioritizing urgent matters with ease.
- Clerical experience including filing systems, proofreading documents, and managing correspondence.
- Strong time management skills complemented by a proactive approach to problem-solving.
- Assist with student arrival, dismissal, and possibly some student supervision; assist with checking temperatures and contact parents when students are ill.
Education: Bachelor's degree preferred
Job Tasks Include:
- Tools/Equipment Used: Standard office equipment including personal computer, scanner, and printer.
- Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
- Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
- Lifting: Occasional light lifting and carrying (less than 15 pounds)
- Environment: May work prolonged or irregular hours during key times, such as Back-to-School Night and Graduation.
- Mental Demands: Work with frequent interruptions; maintain emotional control under stress

Pay: $20.00 - $25.00 per hour
