Position Summary

The Mason County Sheriff's Office is seeking a highly motivated, professional, and detail-oriented Administrative Assistant to provide confidential administrative support to the Sheriff and Undersheriff. This position performs advanced secretarial and administrative work requiring independent judgment, initiative, discretion, and the ability to handle sensitive information with the highest level of confidentiality.

The successful candidate will serve as a key member of the Sheriff's Office administrative team and will be responsible for managing communications, coordinating schedules, maintaining records, assisting with financial and payroll functions, preparing professional correspondence, and supporting a variety of administrative, legal, labor relations, and personnel-related activities.

This position works with minimal supervision and is expected to exercise sound judgment while ensuring adherence to departmental policies, procedures, and professional standards.

Essential Duties and Responsibilities

  • Serve as the primary administrative support person for the Sheriff and Undersheriff.
  • Receive, screen, and relay written, electronic, and verbal communications.
  • Schedule appointments and staff training, coordinate travel itineraries for staff, coordinate calendars, and arrange meetings and events at the direction of the Sheriff or Undersheriff.
  • Prepare meeting materials and maintain administrative records and files.
  • Provide direct supervision and leadership to the clerical staff within the Sheriff's Office.
  • Assist with the day-to-day operations of the administrative office, ensuring efficient workflow, task completion, and coordination among clerical personnel.
  • Train, mentor, assign work, and monitor the performance of clerical staff to ensure compliance with state law, departmental policies, procedures, and service expectations.
  • Maintain departmental filing systems and records for budgetary, personnel, and operational purposes.
  • Prepare invoices, purchase orders, billing documents, and ensure proper processing and record retention.
  • Prepare payroll and maintain payroll-related records and documentation.
  • Assist with budget tracking and account management.
  • Maintain and update the Sheriff's Office website, Facebook page, and other approved social media platforms.
  • Draft, prepare, edit, and format professional correspondence, reports, memorandums, presentations, and official documents.
  • Prepare proposals, position statements, responses, and communications related to administrative operations, employment matters, labor relations, legal matters, and union activities.
  • Review documents for accuracy, grammar, formatting, mathematical correctness, and professional presentation.
  • Conduct research and compile information for reports, projects, and administrative initiatives.
  • Maintain confidentiality of sensitive personnel, legal, labor, and operational information.
  • Assist with special projects and perform other duties as assigned by the Sheriff or Undersheriff.

Minimum Qualifications

  • Associate degree in Business Administration, Office Administration, Public Administration, or a related field preferred. Equivalent education and experience may be considered.
  • Experience working in a governmental, law enforcement, legal, or public-sector environment is preferred. Equivalent education and experience may be considered.
  • Demonstrated strong efficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and related office software.
  • Ability to maintain strict confidentiality and exercise discretion in handling sensitive information.

  • Ability to prioritize multiple tasks and meet deadlines.
  • Knowledge of office management practices and administrative procedures.
  • Ability to compose professional correspondence independently.
  • Strong proofreading, editing, and document preparation skills.
  • Ability to work independently and make sound decisions within established policies.
  • Excellent customer service and interpersonal skills.
  • Ability to establish and maintain effective working relationships with employees, elected officials, outside agencies, and the public.

Compensation and Benefits

Salary is commensurate with qualifications and experience. The position includes a competitive benefits package consistent with County policies and applicable labor agreements.
