The Tennessee District Attorneys General Conference is seeking a qualified individual to fill the position of Senior Executive Staff Assistant.
Under the direction of the Executive Director and Deputy Executive Directors, this position provides senior‑level executive, administrative, and operational support to the Conference Office. The role manages complex executive functions; coordinates communications across district offices, executive leadership, and external partners; oversees office, facilities, and leasing operations; and plans and executes high‑profile meetings and events. The position exercises significant independent judgment, discretion, and initiative, serves as a central administrative and operational point of coordination for Executive Leadership, and requires travel.
Essential Duties and Responsibilities
· Serves as a primary administrative and operational liaison between Executive Leadership, District Attorneys General, district offices, state agencies, and external stakeholders.
· Manages executive workflows, calendars, priorities, and follow‑up to ensure leadership directives and organizational initiatives are completed accurately and timely.
· Prepares, reviews, and edits executive‑level correspondence, reports, briefing materials, and other sensitive documents.
· Supports Executive Leadership with organization‑wide initiatives, cross‑functional coordination, and confidential matters requiring discretion and sound judgment.
· Assists with legislative support activities
· Oversees day‑to‑day administrative operations of the Conference Office, functions as office manager, serving as backup support as needed.
· Maintains staff directories, organizational records, shared administrative systems, and office resources, including the law library.
· Serves as the primary administrative point of contact between TNDAGC and the building manager, handling building‑related matters under Executive Leadership direction, including maintenance coordination, space issues, access control, badging, parking, and administrative coordination of state vehicle assignments.
· Coordinates leasing and facilities‑related functions, including preparation, processing, tracking, and maintenance of lease agreements and related documentation; monitors renewal timelines and compliance requirements.
· Acts as a Notary Public for leases and other official documents as required.
· Plans, coordinates, and executes significant meetings, trainings, conferences, and organization‑wide events, including multi‑day and off‑site events.
· Arranges Executive Leadership travel and logistics and prepares travel documentation and reimbursement materials.
· Collects data and prepares reports, summaries, and presentations related to administrative, legislative, and operational activities.
· Utilizes and supports office technology systems; provides general guidance to staff on administrative tools and applications.
· Represents the Conference Office professionally and performs related duties as assigned.
Qualifications
Minimum:
· Bachelor’s degree in public administration, business administration, political science, communications, legal studies, or a related field OR an equivalent combination of education and progressively responsible experience.
· Five (5) years of increasingly responsible experience providing executive‑level administrative or operational support, preferably in government, legal, legislative, or public‑sector environments.
· Demonstrated ability to manage confidential information, exercise independent judgment, and support senior executives.
· Experience coordinating complex schedules, meetings, travel, events, or multi‑stakeholder activities.
· Experience with office operations, facilities coordination, leasing, or administrative project management.
· Strong written and verbal communication skills.
· Proficiency with Microsoft Office and administrative or database systems.
· Ability and willingness to travel.
· Ability to obtain and maintain Notary Public status in the State of Tennessee.
Preferred:
· Experience with Tennessee state government, legislative processes, facilities or building coordination, and/or staff supervision.
Salary Range is $70,000 - $90,000 annually, dependent upon qualifications, experience, and budget approval.
