Administrative Assistant- Training Operations

Position Overview:

We are seeking a highly organized and detail-oriented Administrative Assistant to support daily operations at our Casselberry training office. This role is critical in ensuring smooth coordination between instructors, customers, and internal teams while supporting the continued growth of our training programs.

Key Responsibilities:

  • Answer and route incoming phone calls professionally
  • Print, prepare, and ship training materials to instructors and training sites
  • Manage inventory of training supplies and materials
  • Track, receive, and organize training documentation
  • Scan and upload class records, tests, and certifications to the server
  • Assist with processing certifications and certification cards
  • Coordinate and schedule lunches and logistics for training events
  • Travel to the Tampa, FL office as needed for inventory support and restocking
  • Provide general administrative and clerical support as needed

Required Skills & Qualifications:

  • Proficiency in Microsoft Word and Excel (At least 3 years of proven experience)
  • Strong organizational and time management skills
  • Attention to detail and ability to manage multiple tasks
  • Strong communication skills (phone and email)
  • Ability to work independently and as part of a team
  • Must be authorized to work in the United States without sponsorship
  • Must be able to pass a pre-employment background check (including MVR), drug test & physcial.

Preferred Qualifications (Plus)

  • Bilingual (Spanish/English preferred)
  • Experience with SXE or Microsoft Business Central
  • Familiarity with HubSpot and/or Salesforce
  • Prior experience in an administrative, logistics, or training support role

This position supports a fast-paced training environment with multiple instructors, customers, and concurrent schedules. The ideal candidate is proactive, dependable, and comfortable handling both administrative tasks and operational coordination.
