Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant/Legal Secretary to support our legal team. This role involves providing comprehensive administrative and legal support across various practice areas with emphasis on criminal law and procedure as well as family law, and more. The ideal candidate will possess strong legal research skills, proficiency with document management systems including Matrix Electronic File Management system, and excellent communication abilities to ensure the smooth operation of our law office.
Duties
- Manage and maintain legal case files using document management systems such as Matrix Electronic File Management system.
- Conduct legal research utilizing LexisNexis, Westlaw, and other research tools to support attorneys’ case preparation.
- Draft, review, and proofread legal documents including contracts, pleadings, correspondence, and reports with precision.
- Assist with legal case management by organizing documents, tracking deadlines, and coordinating case activities.
- Provide administrative support such as data entry, filing, document review, transcription, and maintaining organized records.
- Schedule appointments, manage calendars, and coordinate meetings for attorneys and clients.
- Handle phone inquiries with professional phone etiquette; communicate effectively with clients and external parties.
- Support litigation processes through document review and preparation for court filings.
- Perform clerical tasks including proofreading documents, managing email correspondence, and maintaining confidentiality.
Qualifications
- Proven experience as a legal secretary or paralegal in a law office setting with familiarity in multiple practice areas such as criminal law and procedure, family law, appellate procedure and government law.
- Strong knowledge of legal research tools including LexisNexis and Westlaw.
- Proficiency in document management systems like Matrix Electronic File Management system or similar platforms.
- Excellent writing skills with the ability to draft clear legal documents; strong proofreading and transcription abilities.
- Exceptional organizational skills with attention to detail; ability to manage multiple priorities efficiently.
- Experience with legal administrative tasks such as filing, data entry, and document review.
- Familiarity with litigation procedures and case management processes.
- Strong interpersonal skills including professional phone etiquette; ability to work independently or as part of a team.

Pay: $20.00 - $24.00 per hour
