Administrative Assistant/Marketing Coordinator

Job Overview
We’re seeking a detail-oriented Administrative and Marketing Coordinator to streamline operations and support growth. This role ensures smooth administrative functioning—especially within Housecall Pro—and actively contributes to our marketing efforts.

  • Key Responsibilities:

Administrative & Financial:

  • Manage Housecall Pro schedules, ensuring accurate routing and no missed jobs.
  • Oversee and ensure timely, correct invoicing to appropriate clients.
  • Work with QuickBooks for receipt categorization, reconciliation, and overall bookkeeping support.
  • Use tools like Receipt Bank or QuickBooks’ receipt capture to categorize expenses accurately.

Marketing & Lead Management:

  • Coordinate with the marketing team, following up on warm and cold leads, tracking progress, and nurturing prospects.
  • Assist in regular social media posting and engagement.
  • Run small-scale ad campaigns and monitor performance.
  • Ensure marketing activities align with company goals and report results.

General Coordination:

  • Maintain clear communication between teams—admin, marketing, and field operations.
  • Support overall organizational efficiency—proactively identifying gaps and helping solve them.

Qualifications:

  • Experience using Housecall Pro or similar field service software.
  • Proficiency in QuickBooks, including receipt categorization and basic bookkeeping tasks.
  • Familiarity with social media platforms and basic ad management.
  • Strong organizational skills and attention to detail.
  • Excellent communication and multitasking abilities.
  • Proven experience in office management, clerical work, or administrative roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications

Pay: $18.00 - $25.00 per hour
