Administrative Assistant/Receptionist

Administrative Assistant – Front Office (Mental Health Practice)
Agape Counseling Center – Centerville, OH
Part-Time (Approx. 16-20 hours/week)

Agape Counseling Center is a well-established outpatient mental health practice serving the community for over 40 years. We are seeking a dependable, detail-oriented Administrative Assistant to support front office operations and help create a smooth, welcoming experience for our clients and clinical team.

This position plays an important role in both client care and daily office function within a confidential healthcare setting.

Key Responsibilities

  • Manage front desk operations including answering phones, greeting clients, and scheduling appointments
  • Assist clients with insurance questions, billing inquiries, and payment accounts
  • Verify and maintain accurate client information in our electronic health record system
  • Support therapists with scheduling coordination and administrative needs
  • Communicate with third-party billing, insurance companies, referral sources, and support teams
  • Maintain organization and flow of daily office operations

Work Environment & Expectations

  • This is a confidential healthcare setting requiring professionalism, discretion, and respect for client privacy at all times
  • Maintaining client confidentiality and handling sensitive information appropriately is a core expectation of this role
  • You will work closely with both a clinical team and administrative team, including the Office Manager
  • This role requires the ability to take direction while also taking ownership of responsibilities once assigned
  • Tasks will range from routine daily duties to problem-solving unexpected issues, requiring attention to both small details and larger workflows
  • This is a fast-paced environment at times, and the ability to stay calm, organized, and solution-focused is essential

  • Clients feel welcomed, supported, and respected from their first interaction
  • Calls, scheduling, and administrative tasks are handled accurately and efficiently
  • Client accounts and insurance information are kept organized and up-to-date
  • Therapists are supported and able to stay focused on clinical care
  • Responsibilities are followed through on consistently without needing frequent reminders

Qualifications

  • Prior office administration experience required
  • Strong organizational and multitasking skills
  • Ability to work independently and follow through on responsibilities
  • Comfortable learning and using electronic systems (EHR, scheduling, billing platforms)
  • Experience with Microsoft Office or Google Workspace preferred
