We are looking for an experienced, professional Administrative Assistive with strong organizational skills.
Our work environment includes:
1. Answer phone calls and redirect them when necessary
2. Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
3. Prepare and disseminate correspondence, memos and forms
4. Handling incoming and outgoing mail and faxes
5. Maintain email lists and distribute information
6. File and update contact information of employees, customers, suppliers and external
partners
7. Support and facilitate the completion of regular reports
8. Develop and maintain a filing system
9. Prepare and edit documents
10. Check frequently the levels of office supplies and place appropriate orders
11. Document expenses and hand in reports
12. Process payments and assist students with the check in process
REQUIRED QUALIFICATIONS
1. Proven work experience as a Secretary or Administrative Assistant
2. Familiarity with office organization and optimization techniques
3. High degree of multi-tasking and time management capability
4. Excellent written and verbal communication skills
5. Integrity and professionalism
6. Proficiency in MS Office
7. High school diploma
8. Must have a current CPR certification or obtain a CPR certification within the first 30 days of hire. Classes are offered at school at a discounted rate for employees.
SKILLS AND ABILITIES
1. Demonstrated ability to work with diverse populations
2. Excellent organizational skills
3. Knowledge of general office procedures
4. Knowledge of word processing and spreadsheet software, including Word and Excel, and the ability to learn new software
5. Ability to operate office equipment (fax, copier, mail, etc.) and maintain a shared group email calendar from Outlook or Gmail
6. Customer service experience
7. Ability to type at least 40 words per minute
8. Proficient in proofreading, spelling, grammar punctuation and math
9. Willingness to work on a flexible schedule to meet educational requirements
10. Possess strong interpersonal skills
11. Ability to work independently
REPORTING RESPONSIBILITIES
This position reports to the Program Director.
Job Type: Part-time
Pay: $12.00 - $15.00 per hour
