Job Description: Administrative Assistant

Accountable to: Administrator

Qualifications:

· Possess a certificate of higher learning (AA, AS Degree)

· Must be over the age of 18

· Must maintain a valid First Aid and CPR training certificate or acquire within/Experience: 2 weeks from hire date

· Proficiency in Microsoft products {Excel and Word}

· Must receive a criminal clearance from US Department of Justice and FBI

· Must be able to lift {Moderate lifting 20-50 lbs.}

· Must possess the ability to exercise sound judgment and make independent decisions when circumstances warrant it

· Strong verbal and written communication skills

· Possess the ability to understand and carry out both written and verbal directions

· Present self as flexible in how she/he approaches problems and have a calm and reassuring manner towards residents

· Possess thorough knowledge of the program goals and ability to communicate these goals to staff and family members

· Must undergo a health screening, including a chest x-ray or an intradermal examination to test for Tuberculosis, performed by a physician not more than six (6) months {upon job offer acceptance.} Must be fully vaccinated for COVID-19, Booster and Influenza (flu) vaccine

· Must be willing to comply with state, local, federal laws and community policies and procedures.

Responsibilities/Duties:

· Administrative Assistant provides support to the Administrator and operations team

Oversees coordination of family visits, medical appointments, community notifications.

· Must comply with the spirit of the community including participation and compliance of the communities core values and mission statement.

· Answers the phone in a positive and professional manner and provides timely messages.

· Assists in opening the door for visitors, third party providers and vendors including COVID-19 screening per community policy.

· Specific tasks and other duties may be assigned

· Responsible for creating and maintaining monthly resident rent roll

(Rent rolls are to be submitted to appropriate corporate personnel by the 20th of the month)

Responsibilities/Duties:

· Follow up with appropriate corporate personnel to ensure monthly invoices and statements are produced and received on a timely manner

· Distribute invoices accordingly

· Oversees rent collection from residents and/or responsible parties by due date

· Administers record of rent collection and informs Administrator on past due accounts

· Maintain communication with residents and/or responsible parties and documents communication when rent is past due in efforts to reduce outstanding AR from going beyond 30 days

· Responsible for creating and submitting resident refunds to appropriate corporate personnel promptly with appropriate justification; follow up when payment has not been received by responsible party in a reasonable timeframe

· Process vendor invoices on a timely manner

· Assist Executive Director in new resident admission process by providing resident/responsible party with copies of signed documents, creating new resident chart for Resident Services, creating new resident admission sheets and submitting such forms to appropriate corporate personnel on a timely manner

· Assist Administrator and HR Consultant with the distribution of memos and flyers to employees, residents, and responsible parties pertaining to facility related changes, events, training/in services, etc.

· Perform front office duties such as answering phones, filing, distribution of resident mail accordingly

· General office equipment maintenance and coordination (postage meters, copiers, etc.)

· Complete any other administrative tasks as assigned by the Administrator

· Participate in facility events as directed

· Carry radio on person and communicate as required

· Management and organization of storage areas

· Assist with operations requests, including deliveries, pick up and errands, as needed

· Performs all other duties and tasks as assigned by management

· Abide by RCFE Title 22 regulations and all River Bluffs Memory Care and Procedures

· Report any witnessed or knowledge resident abuse allegations immediately to the Administrator and Community Wellness Director as required by state regulations and company policies

· Ensure that Resident Rights are protected and well respected as required by CCLD and River Bluffs policies.

· Treat residents with dignity and respect by addressing resident(s) by their surname (unless the resident gives permission to be addressed otherwise) and knock-on resident doors before entering

· Maintain a safe and secure environment for all staff, residents, and guests, following established safety standards

Responsibilities/Duties:

· Immediately report all hazardous conditions or equipment safety issues to the Administrator

· Demonstrate customer service standards for daily interaction with residents, visitors and family members

· Display courteous behavior toward family members, facility visitors, prospective customers and fellow staff members

· Support a positive and professional environment in the Community by adhering to guidelines in the handbook including dress code, good personal hygiene, time off requests, attendance, and breaks

· Attend in service, training and facility meetings as set forth by RCFE Title 22 regulations and River Bluffs Memory Care Policies.

· Must have compassion for residents and family members, with an understanding of the progressive and irreversible nature of their disease

· Maintain confidentiality of all facility operations

· Maintain confidentiality of all pertinent resident records & information

COVID-19 Mitigation Plan Participation:

Each team member of the community is required to participate in daily COVID screenings as outlined within the CCLD approved COVID-19 mitigation plan. Each River Bluffs team member is required to comply and support all COVID-19 policies and procedures to promote the health, safety and wellbeing of its residents and fellow team members. Each team member must provide a copy of their COVID-19 vaccination cards at time of employment or provide a written exemption as outlined within the State of California requirements as required by state law.

Job Type: Full-time

Pay: From $18.00 per hour
