Administrative Assistant/Receptionist

We are seeking a dynamic and highly organized Administrative Assistant to join our team. Responsibilities

  • Provide comprehensive administrative support to executive leadership.
  • Manage incoming communications via phone systems, and email correspondence, ensuring prompt and courteous responses
  • Handle clerical duties such as data entry, filing, proofreading documents, and maintaining accurate records using Microsoft Office and Google Workspace tools
  • Support office management tasks including supply ordering, maintaining office equipment, and overseeing general administrative procedures
  • Assist with bookkeeping activities using QuickBooks, including invoicing and expense tracking
  • Coordinate travel arrangements, prepare reports, and assist with special projects as needed to enhance overall office productivity

Qualifications

  • Proven experience in an administrative or clerical role within an office environment; bookkeeping knowledge a plus
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently in a busy setting
  • Exceptional communication skills with professional phone etiquette
  • Demonstrates attention to detail through proofreading, data entry accuracy, and filing practices
  • Experience in customer service or customer support roles that require patience and active listening skills
  • Knowledge of office management procedures including calendar management, data entry, basic bookkeeping using QuickBooks or similar software
  • Ability to handle confidential information discreetly while maintaining a positive attitude and proactive approach
