Florida Health Care Academy is a trusted healthcare training institution with over 20 years of experience preparing students for successful careers in the medical field. We are proud of the quality of our programs and the professionals who graduate from our academy. Our offerings include Phlebotomy, EKG Technician, Home Health Aide, and Medical Assistant programs.

We are currently seeking a dedicated and organized Bilingual Administrative Assistant to support our front office operations and contribute to student success from enrollment through graduation and beyond.

Position Overview
This role is essential to the daily operations of the academy. The ideal candidate is professional, detail-oriented, and passionate about helping students succeed. In addition to managing front office responsibilities, this role plays a key part in supporting academic processes, tracking student progress, and assisting graduates with employment opportunities.

Schedule

  • Monday through Friday: 8:00 AM – 2:00 PM
  • Alternating Saturdays: 8:30 AM – 2:00 PM

Key Responsibilities

  • Maintain a clean, organized, and welcoming office environment
  • Open and close the office on assigned days
  • Answer phone calls promptly and professionally
  • Monitor and respond to emails in a timely manner
  • Greet visitors, provide accurate information, and direct inquiries appropriately
  • Schedule appointments, meetings, and important dates
  • Process payments and maintain accurate financial records
  • Maintain both physical and electronic filing systems
  • Manage office equipment including computers, printers, and phones
  • Ensure student grades are collected, tracked, and submitted accurately and on time
  • Support instructors and administration in maintaining academic records
  • Assist in identifying and sharing job opportunities for graduates
  • Help guide students and graduates with basic employment resources and follow-up
  • Review documents for accuracy, grammar, and adherence to company standards
  • Prepare and distribute reports, correspondence, and required documentation
  • Maintain daily income reports and submit copies to leadership
  • Deliver required documentation to partner organizations

Qualifications

  • Bilingual in English and Spanish (required, both written and verbal)
  • Strong communication and customer service skills
  • Comfortable using office technology (computers, printers, phone systems)
  • Basic knowledge of social media platforms (Facebook, Instagram, etc.)
  • Highly organized with strong attention to detail
  • Ability to multitask and work in a fast-paced environment
  • Ability to lift up to 20 lbs
  • High school diploma or GED required (higher education preferred)
  • Valid Florida ID or driver’s license

Job Type: Part-time

Pay: $18.00 - $25.00 per hour
