As we continue to grow, we are looking for a dependable, detail-oriented Front Office Coordinator to join our team. This role is critical to ensuring a smooth and welcoming experience for our patients and referring offices alike.
Position Summary:
A Front Desk Coordinator in our oral surgery clinic serves as the primary point of contact for patients and referring offices, managing a busy front desk with professionalism and warmth. This role handles all incoming calls, schedules surgical procedures with accuracy, and processes referrals to ensure a smooth and efficient new‑patient experience. The position also includes dedicated daily time for scribing clinical notes for our surgeons, helping to maintain clear and organized documentation. The ideal candidate is detail‑oriented, communicative, and comfortable balancing administrative responsibilities with light clinical support in a patient‑focused environment. This a full-time role Monday-Friday with opening availability preferred which can vary based on surgery schedule but 7:30 A.M is usual.
Key Responsibilities (including but not limited to):
- Serve as the primary front desk contact by answering and directing all incoming calls, assisting patients, and communicating with referring offices.
- Schedule surgical procedures accurately and efficiently, ensuring all required information, documentation, and pre‑op steps are completed.
- Manage and process referrals from outside dental and medical offices, including tracking, organizing, and initiating new‑patient workflows.
- Coordinate new‑patient intake by gathering records, confirming insurance information, and preparing charts for clinical review.
- Perform daily scribing duties for surgeons for at least one hour per day, ensuring clinical notes are clear, complete, and properly documented.
- Support overall clinic operations by maintaining organized front desk systems, assisting with patient flow, and communicating effectively with the clinical team.
- Adapt to evolving needs of the practice, with the understanding that responsibilities may be modified or expanded as the business sees fit.
Qualifications:
A successful candidate brings strong communication skills, accuracy in a detail‑heavy environment, and the ability to stay organized while supporting both administrative and light clinical needs. The qualifications below reflect what’s required for this role:
- High school diploma or equivalent required.
- Advanced multi‑line phone management skills, with the ability to handle a high call volume professionally and efficiently.
- Strong appointment‑scheduling accuracy, especially when coordinating surgical procedures and managing complex patient workflows.
- Excellent verbal and written communication skills, with a professional, patient‑focused approach.
- Proficiency with computers and practice‑management software, and the ability to learn new systems quickly.
- Strong organizational skills, including managing referrals, tracking documentation, and maintaining orderly front‑desk processes.
- Positive, team‑oriented attitude, with the ability to collaborate well and contribute to a supportive work environment.
- Ability to work effectively in a fast‑paced setting, balancing multiple responsibilities while maintaining accuracy and composure.
