Responsibilities
- Greet visitors warmly, verify appointments, and direct them appropriately within the office.
- Manage multi-line phone systems efficiently, directing calls and taking accurate messages with professional phone etiquette.
- Handle incoming correspondence, emails, and inquiries promptly using Microsoft Office and Google Workspace tools.
- Maintain organized filing systems, data entry records, and ensure all documentation is accurate and up-to-date.
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software.
- Assist with clerical duties including proofreading documents, managing office supplies, and supporting administrative projects.
- Provide customer support by addressing client needs courteously and professionally, ensuring a positive experience for all visitors.
Experience
- Previous office or administrative experience is preferred, especially in roles such as medical or dental receptionist or personal assistant roles.
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tasks.
- Strong organizational skills with the ability to multitask effectively in a busy environment.
- Excellent communication skills in both English and bilingual capabilities are highly desirable to serve diverse client needs.
- Experience with front desk operations, multi-line phone systems, filing systems, and clerical support is essential.
- Knowledge of office management procedures including calendar management, time management techniques, and basic bookkeeping is advantageous.
- Familiarity with customer service best practices, phone etiquette, proofreading skills, and general clerical responsibilities will ensure success in this role.
- Experience in healthcare, residential care, or social services setting is a plus
Education & Experience Requirements
- High school diploma or GED required
- Previous receptionist, administrative, or office experience preferred
