Administrative Assistant/Specimen Collector

Position SummaryThe Administrative Assistant/Specimen collector provides clerical and administrative support to ensure efficient operation of the office. This role supports management and staff through a variety of tasks related to organization, communication, and record keeping. This person is responsible for the day-to-day operations and administrative duties of the specimen collection/drop site. Instructs clients in procedures, completes needed paperwork within Chain of Custody protocols, collects samples, greets customers, answers phone calls, and maintains charting and filing. Ensure program efficiency through verification program procedures are being followed, and maintaining relationships with referral sources.

Essential Duties and Responsibilities

  • Answer and direct phone calls and emails.
  • Greet visitors and provide excellent customer service.
  • Prepare correspondence, reports, and other documents.
  • Maintain and organize files and records.
  • Manage inventory.
  • Assist with data entry and maintaining databases.
  • Maintain confidentiality of sensitive information.
  • Perform other administrative duties as assigned.
  • Collects specimens according to established procedures.
  • Completes direct observation of collections of same sex clients.
  • Ensure all specimens are collected by protocol and packaged accurately and on time.
  • Maintains records of each specimen collected.
  • Participates in completing light janitorial duties on a daily basis.
  • Completes other projects and duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • Previous administrative or office experience preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize responsibilities.
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team.

Physical Requirements

  • Prolonged periods of sitting and working on a computer.
  • Ability to lift up to 20 pounds occasionally.

Work Schedule

  • Monday through Friday. 1:30 pm-8:30pm
  • Hours may vary based on business needs.

Pay: From $18.00 per hour
