The Kansas Board of Regents invites applicants to fill the position of Administrative Associate. The nine-member Kansas Board of Regents is the governing board of the state’s six universities and the statewide coordinating board for the state’s 32 public higher education institutions (six state universities, one municipal university, nineteen community colleges, and six technical colleges).
The Administrative Associate is a key member of the Kansas Board of Regents Administrative Support Team and provides comprehensive administrative and operational support to the Board Office. This position operates within a pooled/shared-services administrative support model, providing cross-trained support across departments, rotating front desk and coverage responsibilities, and ensuring continuity of service during staff absences. The Administrative Associate manages communications for assigned departments and staff; schedules and coordinates in-person and virtual meetings; prepares agendas, materials, and official meeting minutes in accordance with established procedures; and supports Board meetings, conferences, and events through logistical and hospitality coordination.
This role also serves as part of the agency’s front desk team by welcoming visitors, electronically screening entry to the office suite, coordinating incoming calls and mail, and handling deliveries. In addition, the Administrative Associate supports financial and transactional processes by assisting staff with travel arrangements and expense reporting; processing purchasing and accounts payable activities in state systems; maintaining supplier, subscription, and procurement records; and tracking related documentation in accordance with agency policies. Additional administrative and specialized duties are performed in support of agency operations and Board activities.
The successful candidate will have a high school diploma or equivalent and a minimum of three years of relevant office experience in a similar position. The candidate must be highly detail-oriented and demonstrate strong oral and written communication, analytical, and customer service skills, along with effective interpersonal abilities. Advanced organizational skills and the ability to prioritize multiple projects, adapt to shifting priorities, and meet deadlines are essential. Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, as well as the ability to maintain confidentiality, is required. The successful candidate must also be able to work effectively in a pooled or shared-services environment, including cross-training, shifting priorities, and providing backup coverage to support agency operations. A bachelor’s degree or equivalent experience and experience working in a postsecondary education environment are preferred qualifications.
Salary range is $42,000 to $47,000 and will be commensurate with qualifications and experience. This is a hybrid position; in-person work at the Topeka office will be required three days per week.
