Position at a Glance

We are seeking a dynamic and experienced Administrative Associate. The Administrative Associate will provide high-level administrative support to the leadership team, ensuring the team can accomplish key tasks and initiatives efficiently. In this supportive role, they will perform routine and advanced duties that require superior communication and collaboration skills, organizational skills, and an aptitude for a variety of data management systems technologies.

Scope of Responsibilities

  • Oversee project trackers and workflow systems, taking initiative to ensure timely follow-up and successful completion of division initiatives.
  • Maintain weekly, monthly, quarterly, and annual reporting calendars, coordinating with all parties and anticipating needs to ensure accurate and timely submissions.
  • Manage the leadership daily schedule, including meeting coordination, confirmations, and minute-taking, while proactively identifying priorities and potential conflicts.
  • Participate in meetings throughout the full project life cycle, such as contract negotiations, launch meetings, performance reviews, and closeout discussions, bringing a forward-thinking, solution-oriented perspective.
  • Review spreadsheets and database information to support reporting needs, independently coordinate travel, reconcile purchasing card transactions, process invoices, provide front desk coverage when needed, and complete other administrative tasks as a self-starter.

Selection Criteria

  • Two (2) years’ experience in an administrative support role, and a High School Diploma or GED
  • Excellent computer skills, with demonstrable proficiency in Microsoft Office Suite
  • Ability to manage multiple tasks simultaneously while working within tight time restrictions and deadlines, while maintaining great attention to detail
  • Strong written, verbal, and interpersonal communication abilities
  • High level of emotional intelligence to understand others’ points of view and respond appropriately
  • Ability to approach each day and situation with a positive attitude and an open mind
