The Administrative Medical Assistant plays a key role in supporting clinical and administrative operations with a primary focus on Medicare quality measures, including HEDIS (Healthcare Effectiveness Data and Information Set) and Annual Wellness Visit (AWV) requirements. This position ensures accurate documentation, patient outreach, and compliance with regulatory standards to improve patient outcomes and quality scores.

Responsibilities

Key Responsibilities:

Medicare HEDIS & Quality Measures:

  • Review patient charts to identify care gaps related to HEDIS measures
  • Track and monitor compliance with Medicare quality metrics
  • Assist providers in closing care gaps through documentation and follow-up
  • Maintain accurate records of completed and outstanding quality measures
  • Prepare reports for quality improvement initiatives

Annual Wellness Visits (AWV):

  • Identify eligible Medicare patients for Annual Wellness Visits
  • Conduct patient outreach via phone, text, or email to schedule AWVs
  • Assist in pre-visit planning, including gathering patient history and required screenings
  • Ensure all AWV documentation meets CMS (Centers for Medicare & Medicaid Services) guidelines
  • Support providers during AWVs by preparing forms and updating patient records

Patient Coordination & Communication:

  • Educate patients on the importance of preventive care and wellness visits
  • Follow up with patients regarding lab results, screenings, and referrals
  • Coordinate care between providers, specialists, and care teams
  • Provide comprehensive administrative support including scheduling appointments, managing patient records, and verifying insurance information using Electronic Health Record (EHR) systems.
  • Assist healthcare providers with patient intake procedures, including collecting medical histories, recording vital signs, and updating patient charts accurately.
  • Support clinical tasks such as taking vital signs, preparing patients for examinations, and assisting with basic procedures under supervision.
  • Conduct initial patient assessments by gathering relevant health information and ensuring proper documentation for physicians’ review.
  • Manage ICD (International Classification of Diseases) coding for diagnoses and procedures to facilitate accurate billing and record keeping.
  • Maintain a clean, organized clinical environment while adhering to infection control protocols and safety standards across inpatient and outpatient settings.
  • Collaborate with multidisciplinary teams in various specialties such as dermatology, internal medicine, geriatrics, emergency medicine, or hospital-based units like PICU or OR to ensure seamless patient care delivery.

Skills

  • Strong knowledge of medical terminology, anatomy, physiology, and medication administration practices.
  • Experience working within hospital medicine, urgent care centers, or Level I/II trauma centers enhances your ability to adapt quickly to diverse clinical scenarios.
  • Proficiency in EHR systems for documentation, scheduling, and coding purposes; familiarity with ICD coding is essential.
  • Excellent patient service skills with a compassionate approach to patient intake, education, and support across outpatient and inpatient settings.
  • Ability to perform vital signs measurement accurately and assist with X-ray procedures or basic imaging when needed.
  • Knowledge of emergency medicine protocols and basic life support (BLS) certification ensures readiness for urgent situations.
  • Prior clinic experience in specialties such as dermatology or medical-surgical units is highly valued; familiarity with hospital experience including Geriatrics or PICU is a plus. Pay: $16.00 - $18.00 per hour
