Administrative Clerk - Designated Hourly/Part-Time

This is an hourly designated position approximately 30 to 35 hours per workweek assigned at the Community Services Department.
Under general supervision, performs a variety of general office tasks as operational support to the assigned division and/or department.

Typical Duties Performed

(These examples do not include all the duties, which may be assigned.)
  • Provides clerical and administrative support to the assigned division or department including typing letters, memos, and emails, mailing out correspondence, and filing.
  • Accurately enters information into database systems.
  • Sorts incoming mail; maintains copy machine and office supplies.
  • Prepares and updates spreadsheets.
  • Prepares purchase orders in the finance system and may process invoices.
  • Schedules and coordinates department/division meetings and appointments; and assists with maintaining the department/division calendar.
  • Assists in preparing agenda packets and minutes for advisory bodies held in the department.
  • Provides service request database oversight including data entry, follow-up, and referral to various departments and agencies.
  • Provides quality customer service and excellent communication skills while maintaining smooth office operations.
  • Answers the telephone, directs callers, takes messages, and assists visitors at the public counter, as applicable.
  • Maintains the personnel and information boards.
  • Adheres to City and departmental policies and procedures; performs related duties as assigned.

Minimum Qualifications

Knowledge of: Computer skills to include basic knowledge of Microsoft Word and Excel. Correct business English including vocabulary, grammar, spelling, and punctuation. Record keeping and filing procedures. Customer service and effective communication skills. Working knowledge of office equipment and general office operations.

Ability to: Type accurately at a minimum net rate of 40 words per minute. Learn the operation of a personal computer to include word processing and database software. Utilize quality customer service skills and techniques. Exercise good judgement, courtesy, and tact with staff and public. Multi-task a variety of assignments. Communicate effectively orally and in writing. Maintain effective filing and follow-up systems. Adhere to prescribed routine and perform repetitive clerical functions.


EXPERIENCE AND EDUCATION:
One year of general office experience is required. Graduation from high school or the equivalent is required.
LICENSE OR CERTIFICATE:
  • Possession of a valid California Class C Driver License is required.
  • Valid typing certificate.

Note: A valid typing certificate should be (1) within the last 6 months of the job posting date, (2) with a minimum skill of 40 net words per minute taken on a 5-minute typing speed test, and (3) issued by an employment or school agency with contact information for verification purposes.

Supplemental Information

This is a designated hourly/part-time position, eligible for medical coverage once required work hours are met. Appointments are normally made at the first step of the salary range. Consideration and approval for a salary higher than the first step is done on a case-by-case basis.

Applicants will be screened based on the qualifications for the job as described. Applications evaluated as best matching the needs of the City will continue in the selection process. The selection process may include any or all of the following: oral interview(s), a written or practical examination, a skills test, and an assessment center examination. The selection process may be changed as deemed necessary by the City Human Resources Office.

Candidates will be required to pass a City administered pre-employment requirements to include live scan fingerprinting and a medical examination as part of the Selection Process. Candidates who do not pass any portion of the above processes will be disqualified and removed from proceeding in the selection process.
