Administrative Coordinator

Summary

Local boutique real estate firm seeking a warm, organized, resourceful Administrative Coordinator to support our agents, maintain daily office operations, and create a professional, welcoming environment. This role is the go‑to resource for agents — not doing everything themselves, but ensuring everything gets done by guiding requests to the right people and following through.

Responsibilities

· Serve as the primary point of contact for agent support

· Maintain daily office operations (supplies, vendors, schedules, facilities)

· Manage listing, contract and closing workflows to include processing earnest money deposits and commission checks

· Input new owner and tenant information and coordinate with property management accounting

· Coordinate office and client events

· Troubleshoot copiers, computers and resolve basic agent technology issues

· Manage sign and lockbox inventory and oversee installations and removals

· Input MLS listings for brokerage and property management teams

· Keep the office clean, organized, and client‑ready

· Greet clients and visitors professionally

· Route agent needs to Accounting, Marketing, Property Management, or Leadership

· Track agent requests and ensure completion

· Support new agent onboarding (orientation, systems access, introductions)

· Assist with office events, meetings, and communications

· Manage office calendars, room bookings, and workflow systems

· Reinforce a positive, supportive office culture

· Comfort with office software and basic tech troubleshooting

· Experience in office administration, transaction coordination, or real estate preferred
