Balanced Behavioral Health, LLC is seeking a highly organized, dependable, and detail-oriented Intake & Administrative Coordinator to support the daily administrative and client intake functions of our community mental health agency. This position plays an essential role in ensuring smooth office operations, efficient onboarding processes, timely intake coordination, and accurate administrative support across multiple service areas.
The ideal candidate is proactive, professional, able to manage multiple priorities, and comfortable working in a fast-paced behavioral health environment.
Key Responsibilities
- Coordinate and manage client intake process from referral through admission
- Communicate with referral sources, clients, families, and internal staff regarding intake status and scheduling
- Complete insurance verification calls and document benefit information accurately
- Assist with HR-related administrative tasks, including employee onboarding and new hire coordination
- Support onboarding processes by tracking required documents, trainings, and compliance items
- Manage incoming and outgoing faxes, ensuring documents are routed and filed appropriately
- Complete uploads into data platforms and maintain accurate submission records
- Provide administrative support related to client step-down coordination and continuity of care
- Assist with billing support, reconciliation tasks, and other financial administrative duties as needed
- Maintain organized electronic and physical records in accordance with agency policies and confidentiality standards
- Collaborate with clinical, administrative, and leadership staff to support agency operations
- Perform other administrative and coordination duties as assigned
Qualifications
- High school diploma required; associate’s or bachelor’s degree preferred
- Previous administrative experience in healthcare, behavioral health, community mental health, or human services strongly preferred
- Experience with intake coordination, insurance verification, medical billing, or HR/onboarding processes preferred
- Strong organizational skills and attention to detail
- Ability to handle sensitive and confidential information with professionalism
- Effective written and verbal communication skills
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
- Proficiency in Microsoft Office, Google Workspace, and electronic documentation systems
- Knowledge of behavioral health operations, insurance processes, and client service coordination is a plus
Preferred Skills
- Familiarity with community mental health services and service authorization processes
- Experience with billing reconciliation or claims-related administrative tasks
- Knowledge of client discharge planning or step-down coordination
- Ability to work independently while also functioning as part of a team
Pay: $20.00 - $22.00 per hour
