About the Role

We are seeking a highly organized, detail-oriented Administrative Coordinator to provide direct support to the Chief Executive Officer and Board of Directors.

This is a high-trust, high-visibility role responsible for managing executive scheduling, coordinating board and committee meetings, preparing professional communications, and ensuring smooth day-to-day administrative operations.

This role is ideal for someone who thrives behind the scenes, keeping leaders organized, information flowing, and operations running seamlessly.

What You’ll Do

  • Manage the CEO’s calendar, meetings, and travel logistics
  • Coordinate Board of Directors and committee meetings (agendas, materials, minutes, logistics)
  • Prepare and review professional documents, reports, and correspondence
  • Compile and organize materials for executive and board-level presentations
  • Maintain official records, files, and organizational documents
  • Support meeting logistics, including scheduling, setup, and follow-up
  • Serve as a liaison across departments to ensure timely communication and coordination
  • Assist with administrative processes such as document routing, mail, and office operations
  • Support special projects and assignments on behalf of the CEO

What We’re Looking For

Required:

  • Associate degree in Business Administration or related field
  • 3+ years of administrative experience, including executive-level support
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills

Preferred:

  • Experience supporting senior leadership or a board of directors
  • Experience in a nonprofit or public sector environment
  • Bachelor’s degree

Additional Requirements

  • Valid Florida driver’s license and reliable transportation
  • Ability to obtain the Florida Notary Public designation within 6 months
  • Ability to travel locally (with occasional evenings/weekends)
  • Successful completion of Level 2 background screening, E-Verify, and drug screening
