We are a growing commercial HVAC service company focused on delivering high-quality service and building a strong, team-oriented culture. As we continue to expand, we’re looking for a reliable and detail-oriented Administrative Coordinator to help support daily operations and grow with us.

Position Overview

This is a dynamic, multi-functional role ideal for someone who enjoys variety in their day and wants to grow within a company. In the beginning, you’ll support several areas of the business including dispatching, invoicing, customer service, and general administrative tasks.

As you develop in the role, you’ll have the opportunity to transition into a more specialized position such as:

  • HVAC Dispatcher / Service Coordinator
  • or
  • Invoicing / Accounts Payable SpecialistKey Responsibilities
  • Answer incoming calls and assist customers with service requests
  • Schedule and dispatch technicians for service calls
  • Enter and manage service call information in our system
  • Assist with invoicing and job documentation
  • Support minor repair quotes and proposals
  • Assist with parts ordering and tracking
  • Enter new customer and job information
  • Provide general administrative and office support
  • Coordinate with technicians and management to ensure smooth operations

What We’re Looking For

  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
  • Detail-oriented with good follow-through
  • Comfortable working in a fast-paced environment
  • Proficient with computers and basic office software
  • Ability to learn new systems quickly

Bonus (not required):

  • Experience in HVAC, construction, or service industry
  • Dispatching or scheduling experience
  • QuickBooks or service software experience
