About Full Circle Home Care
Full Circle Home Care is a growing Maryland-based home care and developmental disabilities provider dedicated to creating healthcare solutions for the community. We are seeking a motivated, organized, and professional Administrative Coordinator to support our daily operations across both office locations.
Position Summary
The Administrative Coordinator serves as the primary administrative support professional for Full Circle Home Care. This position assists with office operations, customer service, recruitment, onboarding, staffing support, compliance tracking, community outreach, and administrative coordination between our Crofton and Catonsville offices.
The ideal candidate is dependable, detail-oriented, organized, and comfortable working in a fast-paced environment while maintaining professionalism and excellent customer service.
Office Schedule
- Monday, Tuesday, and Friday – Crofton Headquarters
- Wednesday and Thursday – Catonsville Office
- Additional travel may be required for meetings, community events, outreach activities, and business needs.
Essential Duties and Responsibilities
Administrative Support
- Answer and direct incoming phone calls.
- Greet visitors, applicants, clients, and community partners.
- Manage office correspondence and email communications.
- Maintain office organization and supplies.
- Assist leadership with reports, spreadsheets, and administrative projects.
- Ensure professional office operations at both locations.
Recruitment & Onboarding
- Assist with recruiting and interviewing candidates.
- Schedule interviews and orientations.
- Collect and organize onboarding documents.
- Maintain employee personnel files.
- Assist with new hire onboarding processes.
Compliance & Documentation
- Maintain employee and client records.
- Track CPR certifications, physicals, TB screenings, driver’s licenses, and other required credentials.
- Monitor document expiration dates and follow up with staff as needed.
- Assist with internal audits and compliance reviews.
- Ensure documentation is complete, accurate, and filed appropriately.
Staffing Support
- Assist with staffing coordination and scheduling needs.
- Contact available Care Professionals regarding open shifts and call-outs.
- Support leadership in maintaining continuity of care for clients.
- Communicate staffing concerns and coverage needs promptly.
- Assist with schedule updates and staff communications.
Client & Community Relations
- Assist with client intake and administrative processes.
- Respond to client and family inquiries professionally.
- Represent Full Circle Home Care at community events, job fairs, resource fairs, networking events, and outreach activities.
- Distribute marketing and educational materials.
- Build positive relationships with referral sources and community partners.
Office Coordination
- Support communication between the Crofton and Catonsville offices.
- Assist with Walk-In Wednesday recruiting events.
- Monitor office operations and report concerns to leadership.
- Help maintain a welcoming, professional office environment.
Qualifications
Required
- High School Diploma or GED.
- Minimum one (1) year of administrative, customer service, healthcare, or office experience.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office, Google Workspace, email, and data entry.
- Ability to work independently and manage multiple tasks.
- Reliable transportation.
- Valid driver’s license.
- Personal vehicle available for business-related travel.
- Current automobile insurance.
- Ability to travel between office locations as scheduled.
Preferred
- Experience in healthcare, home care, human services, or DDA services.
- Experience with CareSmartz360 or similar scheduling software.
- Recruiting, onboarding, or staffing experience.
