The Role
We are seeking a highly organized and detail-oriented Administrative Coordinator to support our business operations. This role is responsible for coordinating documentation, communicating with clients and third parties, reviewing and organizing records, and assisting with online corporation setup and administrative processes. The ideal candidate is an excellent multitasker with strong communication skills and a proactive approach to managing multiple priorities.
What You'll Do:
- Contact clients, vendors, and other stakeholders via email and phone to request, collect, and follow up on required documents.
- Review submitted documents for completeness, accuracy, and compliance with internal requirements.
- Organize, maintain, and manage digital files, PDF documents, and records.
- Assist with the preparation and online filing of corporation formation and related business registration documents.
- Track document status and maintain accurate records in spreadsheets and internal systems.
- Coordinate multiple administrative projects simultaneously while meeting deadlines.
- Draft and respond to professional emails and correspondence.
- Schedule appointments, meetings, and follow-up communications as needed.
- Provide general administrative and clerical support to management and operations teams.
- Identify missing information and proactively follow up to ensure timely completion of tasks.
What We're Looking For:
- 2+ years of experience in an administrative, executive assistant, secretary, coordinator, or similar support role.
- Strong organizational and time-management skills.
- Experience working with PDF documents, digital filing systems, and document management processes.
- Basic to intermediate proficiency with spreadsheets (Microsoft Excel or Google Sheets).
- Excellent written and verbal English communication skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Comfortable communicating with clients and external parties via phone and email.
- Proficiency with Microsoft Office Suite and Google Workspace.
Deal-Breakers
- Experience with business registrations, corporation formations, legal documentation, or compliance-related administrative work.
- Familiarity with online government filing portals and document submission processes.
- Experience working in a professional services, legal, accounting, or startup environment.
Pay: $10.00 - $12.00 per hour
