Key Responsibilities

Office & Administrative Support

  • Manage daily office operations and administrative functions
  • Answer and direct incoming calls, emails, and inquiries
  • Coordinate calendars, meetings, and conference calls
  • Prepare correspondence, reports, and presentations
  • Maintain organized digital and physical filing systems
  • Order and manage office supplies and equipment

Project Coordination

  • Assist project managers with documentation and project tracking
  • Prepare subcontractor and vendor packets
  • Organize contracts, change orders, permits, and project files
  • Track project deadlines and assist with scheduling
  • Coordinate communication between field teams, vendors, and clients

Executive Support

  • Provide administrative support to company leadership
  • Manage travel arrangements and meeting logistics
  • Prepare meeting agendas and distribute notes
  • Assist with special projects and company initiatives

Accounting & Operations Support

  • Assist with invoice processing and purchase orders
  • Support payroll administration and employee onboarding documentation
  • Maintain vendor records and insurance certificates
  • Coordinate with accounting regarding billing and project documentation
