Administrative Coordinator – Engineering Support

Position Summary

We are looking for a detail-oriented and proactive Administrative Coordinator to provide essential support to our engineering teams. The ideal candidate will have a background in administrative support within an engineering or technical environment and will play a key role in managing documentation, invoicing, and contract-related processes.

This position requires strong organizational and communication skills, the ability to manage multiple priorities, and the professionalism to collaborate effectively with vendors, clients, and internal departments.

Key Responsibilities

  • Provide administrative support to engineering teams.
  • Prepare, process, and maintain technical, financial, and contractual documentation.
  • Track and process invoices, purchase orders, and payments.
  • Assist with contract preparation, compliance review, and deliverables tracking.
  • Maintain accurate records of vendor agreements, change orders, and project budgets.
  • Coordinate with vendors, clients, and internal teams regarding contract and project-related matters.

Educational Requirements

  • Bachelor’s degree in one of the following fields (required):
  • Business Administration
  • Engineering
  • Accounting

Experience Requirements

  • 2–5 years of administrative support experience, ideally in an engineering or technical environment.
  • Experience with invoicing, billing, and contract administration.
  • Familiarity with engineering terminology and project workflows (highly valued).

Technical Skills

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Experience with document management systems (e.g., SharePoint).
  • Ability to:
  • Prepare and track invoices and purchase orders.
  • Assist in contract preparation, review, and compliance tracking.
  • Maintain detailed project and vendor documentation.

Soft Skills
