Position Summary
We are looking for a detail-oriented and proactive Administrative Coordinator to provide essential support to our engineering teams. The ideal candidate will have a background in administrative support within an engineering or technical environment and will play a key role in managing documentation, invoicing, and contract-related processes.
This position requires strong organizational and communication skills, the ability to manage multiple priorities, and the professionalism to collaborate effectively with vendors, clients, and internal departments.
Key Responsibilities
- Provide administrative support to engineering teams.
- Prepare, process, and maintain technical, financial, and contractual documentation.
- Track and process invoices, purchase orders, and payments.
- Assist with contract preparation, compliance review, and deliverables tracking.
- Maintain accurate records of vendor agreements, change orders, and project budgets.
- Coordinate with vendors, clients, and internal teams regarding contract and project-related matters.
Educational Requirements
- Bachelor’s degree in one of the following fields (required):
- Business Administration
- Engineering
- Accounting
Experience Requirements
- 2–5 years of administrative support experience, ideally in an engineering or technical environment.
- Experience with invoicing, billing, and contract administration.
- Familiarity with engineering terminology and project workflows (highly valued).
Technical Skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Experience with document management systems (e.g., SharePoint).
- Ability to:
- Prepare and track invoices and purchase orders.
- Assist in contract preparation, review, and compliance tracking.
- Maintain detailed project and vendor documentation.
