Role Summary

Neighbor Interiors is seeking an Administrative Coordinator & Procurement Specialist to help bring laid-back luxury design to residential and commercial projects with detailed and skillful proficiency. As an Administrative Coordinator & Procurement Specialist, you’ll be a key support to both our clients and our design team, ensuring our projects run smoothly from first contact to final install.

What You’ll Do

  • Manage inbound leads and client inquiries, ensuring a welcoming, professional, and seamless first impression.
  • Assist in preparing and sending design proposals, contracts, and project documentation.
  • Coordinate client meetings, track project milestones, and maintain up-to-date client communication.
  • Support the design team with day-to-day administrative tasks, scheduling, and document organization.
  • Manage the full procurement process for furnishings, fixtures, and materials selected by the design team.
  • Generate purchase orders and track order progress using Studio Designer (experience preferred).
  • Communicate with vendors, showrooms, and our receiving warehouse to confirm details, lead times, and delivery schedules.
  • Track damages, returns, and replacements to ensure client satisfaction and on-time project completion.
  • Maintain organized digital and physical records for all orders and project files.
  • Assist in coordinating deliveries and installations with the design and operations team.

Qualifications and Requirements

Experience: 2+ years in a similar role within the interior design, architecture, or home furnishings industry preferred.

Software: Proficient in Excel and PowerPoint. Familiarity with Studio Designer preferred. Possess ability to learn and use project management software.

Skills: Must have a passion for pursuing excellence, and an impeccable attention to detail, organization, and follow-through. You’re the person who always catches what others miss.

Communication: Warm, professional, and clear written and verbal communication.
