Administrative Coordinator (Recruiting & Dispatch Support)
Overview:
We are seeking an experienced Administrative Coordinator to support recruiting functions, scheduling, and dispatch operations while ensuring proper staffing coverage and compliance across all sites.
Qualifications:
- 4+ years of administrative experience (HR or recruiting support preferred).
- Experience handling confidential employee records and organized documentation.
- Proficient in PAYCOR, Win Team, Microsoft Office, and background screening systems.
- Comfortable with Zoom, Microsoft Teams, Lighthouse, and Samsara.
- Strong organizational and multitasking skills in a fast-paced environment.
Key Responsibilities:
- Operate multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Maintain employee files and assist with recruiting, onboarding, and documentation.
- Provide exceptional customer support through phone, email, and in-person interactions while maintaining high levels of professionalism
- Perform clerical duties including filing, photocopying, typing documents, and managing office supplies to keep the workspace organized and functional
- Monitor site staffing in Win Team; resolve call-offs and coverage gaps.
- Support scheduling and dispatch operations during shift.
- Conduct officer wellness checks and identify training needs.
- Answer and log incoming calls; escalate emergencies immediately.
- Complete end-of-shift dispatch reports.
- Monitor GPS and reporting systems for compliance and safety issues.
Schedule:
- Wednesday – Friday: 9:00 a.m. – 5:00 p.m.
- Saturday & Sunday: 2:00 p.m. – 10:00 p.m.
