Job Summary
The Temporary Administrative Assistant acts as a vital departmental anchor, providing high-level clerical and operational support to ensure seamless daily workflows. This role is responsible for maintaining peak office efficiency through precise task execution, proactive coordination, and the highest standards of professional discretion.

Keys to Success: Flexibility, adaptability in multiple environments, highly-organized and able to prioritize multiple tasks; Technical Fluency – above average knowledge of current technological trends related to organization, project management and time management.

Responsibilities

  • Provide general administrative and clerical support, including filing, data entry, and document preparation.
  • Answer phones, route calls, and respond to emails in a professional manner.
  • Schedule meetings, appointments, and conference calls.
  • Maintain calendars and assist with coordination of office activities.
  • Prepare correspondence, reports, and presentations as needed.
  • Greet visitors and provide basic information or assistance.
  • Maintain accurate records and ensure confidentiality of sensitive information.
  • Assist with special projects and other duties as assigned.

Daily Responsibilities

· Executive Support: Strategically manage the President’s calendar, ensuring all meetings are confirmed and prioritized. Proactively track open action items and deadlines, coordinating with key stakeholders to ensure all reporting is submitted with precision and punctuality.

· Operational Continuity: Serve as the primary point of contact for the front office during receptionist absences; facilitate the creation, maintenance, and distribution of high-priority electronic records and meeting minutes.

· Leadership Logistics: Streamline executive workflows by managing travel schedules, tracking leadership availability, and processing detailed expense reports.
