Job Title: Administrative Executive (Female)

Location:

Chennai, mostly preferred candidates residing in and around Kolathur, Madhavaram and Annanagar.

Type of Business: Law firm

Employment Type: Full-time and office-based role.

Work Hours: 09 A.M to 6 P.M., Monday to Saturday

Job Summary:

We are seeking a proactive and organised Administrative Executive to manage the day-to-day administrative operations of our law firm. The ideal candidate will ensure the smooth functioning of office activities, coordinate between advocates, clients, and staff, and provide efficient administrative and clerical support to the legal team.

Key Roles and Responsibilities:

· Manage daily office operations, including court cases, e-filing, scheduling, and correspondence.

· Maintain and update client records, case files, and legal documents (both physical and digital).

· Handle incoming and outgoing communication emails, calls, couriers, and appointments.

· Coordinate meetings, prepare minutes, and assist in scheduling court appearances and client consultations.

· Act as a point of contact between clients and advocates for appointments and document submission.

· Support partners and associates in administrative tasks related to case management and court filing.

· Coordinate with clerks, junior staff/advocates, and external service providers for the timely completion of work.

· Maintain petty cash, track office expenses, and assist with billing and invoicing.

· Ensure timely procurement of office supplies and handle vendor relationships.

· Support HR functions such as attendance tracking, leave management, and staff onboarding formalities.

· Prepare and format legal documents, agreements, and letters as per firm standards.

· Maintain confidentiality of sensitive client and case information.

· Generate administrative reports and maintain compliance with firm policies.

Qualifications & Experience:

  • Bachelor’s degree in Business Administration, Commerce, Law, or Arts.

· 1–3 years of relevant experience in office administration; experience in a law firm or consultancy is preferred. Fresher’s are also welcome.

  • Knowledge of basic legal procedures, Case management software, e-court filing, document formats, and filing systems will be an added advantage.

Skills Required:

· Excellent verbal and written communication skills in English and Tamil.

· Strong organisational and time management abilities.

· Proficient in MS Office (Word, Excel), Google Workspace and comfortable with digital tools.

· Good typing speed and document formatting accuracy.

· Ability to handle multiple tasks and work independently under minimal supervision.

Working Conditions:

  • Standard office working hours; occasional extended hours may be required during peak workload or court deadlines, or bulk case filing.

Salary Range:

₹12,000 – ₹15,000 per month (depending on experience and skill level).
