Administrative / Executive Assistant – In Person

IVY Engineering Group is looking for a motivated and organized Administrative / Executive Assistant to support our growing engineering and construction management firm.
This role is ideal for someone who is proactive, detail-oriented, and comfortable handling a variety of day-to-day administrative and business support tasks in a fast-paced environment.
Responsibilities
- Support day-to-day office operations
- Manage calendars and scheduling
- Help identify and track new RFP/RFQ opportunities on agency websites
- Print, scan, organize, and prepare documents
- Register staff for industry events and meetings
- Communicate with clients, teaming partners, and employees
- Assist with proposal coordination and general office support
- Help maintain organized digital and physical records
- Assist with screening and interviewing candidates
- Review employee timesheets
- Assist with onboarding new staff members
- Support basic IT and office technology needs
- Track employee certifications, trainings, and renewals
Qualifications
- Strong organizational and communication skills
- Comfortable multitasking and working independently
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Professional and reliable
- Prior administrative or executive assistant experience preferred
- Experience in engineering, construction, or professional services is a plus
- Notary Public certification is a plus
Position Details
- Full-time, in-person position
- After 4 months, position may transition to hybrid based on performance and business needs
