Responsibilities

  • Greet visitors and clients at the front desk with professionalism and warmth, managing multi-line phone systems with confidence and courtesy.
  • Handle incoming calls promptly, providing accurate information or directing inquiries to appropriate team members using phone etiquette best practices.
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office.
  • Perform data entry tasks with precision, maintaining organized filing systems both digitally and physically to ensure easy retrieval of documents.
  • Assist with basic bookkeeping duties using QuickBooks or similar software, including invoicing, expense tracking, and record reconciliation.
  • Support office management functions such as supply inventory, document proofreading, and clerical tasks to keep daily operations running smoothly.
  • Provide exceptional customer support by addressing inquiries efficiently, offering clear communication, and ensuring a positive experience for all visitors and callers.

Qualifications

  • Proven office experience with strong organizational skills and attention to detail.
  • Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry platforms.
  • Experience with multi-line phone systems, front desk operations, and office management tasks.
  • Excellent phone etiquette, proofreading skills, and time management capabilities.
  • Previous clerical or administrative experience demonstrating reliability in handling multiple responsibilities simultaneously.
  • Strong typing skills with high accuracy; ability to manage calendar appointments efficiently.
  • Personal assistant or customer service experience is beneficial for providing comprehensive support within a professional environment.
