Administrative Legal Assistant

We are looking for a Front Office Legal Assistant to handle calendaring, efiling (Odyssey and OneLegal), answer phones, schedule current and prospective client appointments, network client documents to their directory, retrieve the mail, and assist the office manager with . In this position you will be part of a small but fast-paced law office. You will report to the Office Manager and the Attorney as needed.

We are primarily a family law office but also do bankruptcy and several aspects in probate law and are seeking an experienced candidate who is a self-starter, quick learner and team player. It is preferable that the candidate should have prior office law office experience.

Previous experience in a law office would be a great asset. A successful front desk/ receptionist should have experience with a variety of office software (email tools, spreadsheets, databases and efiling) and experience with handling a large volume of multiple tasks.

Job Responsibilities

  • Assists in keeping up with responding to all communications received - mail, email, fax
  • Answers phones, taking messages and ensuring messages get to Attorney or Office Manager
  • Check voicemail every morning and after lunch
  • Schedule and managing meetings, appointments, court hearings and other calendar commitments with all counties that Attorney practices
  • Communicating updates and calendar changes to clients but also identifying when there are calendar issues with Office Manager
  • Assists in filing with various courts via online portal, mail, and in-person
  • Assisting in general office tasks as needed.

Job Requirements and Skills

We are looking for a legal assistant with a strong work ethic and the ability to work well under pressure and against tight deadlines.

The right candidate will also possess excellent attention to detail and have the ability to multi-task.

Specific qualifications for this position include:

  • Excellent time management skills and ability to multi-task and prioritize work
  • Exceptional organizational skills
  • Exceptional communication skills
  • Proven experience as a Front office Admin, Receptionist, or customer service
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Experience with efiling
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools, like Outlook Calendar
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment

Education and Experience

  • Minimum of 1-2 years law office experience preferred
  • Preferred 1-year experience in Family Law
  • Ability to work as a team
  • Spanish speaking is a plus!

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
