<Job Summary>
We are seeking a highly organized and detail-oriented Administrative Legal Assistant to join the Brown County State's Attorney's Office. <Responsibilities>
- Manage and maintain legal case files using Spartan, a document management system, ensuring accuracy, confidentiality, and easy retrieval of information.
- Assist State's Attorney with legal research using Westlaw and other research tools to support case development across various criminal law scenarios.
- Prepare and review legal documents such as informations, bills of indictment, pleadings, discovery requests, affidavits, and correspondence with meticulous attention to detail.
- Conduct thorough document review and proofreading to ensure clarity, accuracy, and compliance with legal standards.
- Support the drafting of legal writing projects including memos, briefs, and summaries; assist in transcription tasks as needed.
- Coordinate scheduling for client meetings, court appearances, depositions, and interviews; manage calendars efficiently.
- Facilitate communication by answering phones with professional etiquette and directing inquiries appropriately.
- Perform data entry and filing tasks accurately while maintaining organized electronic files in compliance with office policies.
- Assist in preparing for hearings or trials by organizing exhibits and supporting materials.
- Support State's Attorney with project management tasks related to ongoing cases or legal initiatives.
- Conduct legal research on specific topics or regulations pertinent to current cases or practice areas.
- Maintain confidentiality of sensitive information at all times while adhering to ethical standards.
<Required Skills>
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong writing skills for drafting memos, correspondence, contracts, and other legal documents clearly and professionally.
- Excellent communication skills coupled with professional phone etiquette to interact confidently with victims, witnesses, and members of the public.
- Familiarity with Microsoft 365, formerly known as Microsoft Office Suite, and ability to utilize a computer in an office setting.
- Must consent to a criminal background check if a second interview is given. Certain criminal history items will disqualify a candidate.
- Adherence to the strictest forms of confidentiality in all matters handled by the State's Attorney's office.
- Must currently have or be able to acquire a Notary Public Commission with the State of Illinois.
- Ability to work a flexible schedule occasionally requiring after-hours or weekend work.
- High school diploma or equivalent.

- Effective interviewing skills to gather relevant information from clients or witnesses when necessary.
- Experience with document review processes for litigation and ability to handle large volumes of data meticulously.
- Prior experience in a law office setting, especially in a prosecutor's office.
- Basic knowledge of Apple products.
- Possess basic bookkeeping skills for maintaining office budget restrictions and ability to handle large volumes of data meticulously.
- Associate degree or higher.
Pay: $38,480.00 - $43,160.00 per year
