Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for executive and team activities
- Supervise administrative staff, providing training, guidance, and development opportunities to enhance team performance
- Manage vendor relationships, negotiate contracts, and coordinate services such as office supplies, maintenance, and technology support
- Handle confidential information with integrity while maintaining accurate filing systems and records management
- Coordinate event planning for meetings, corporate events, and staff functions to promote engagement and collaboration
- Oversee bookkeeping tasks using accounting software like QuickBooks; manage payroll processing and ensure timely payments
- Prepare budgets, monitor expenses, and conduct financial reporting to support organizational planning and accountability
Qualifications
- Proven experience in office management or administrative leadership roles with supervisory responsibilities
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and spreadsheets; familiarity with financial software such as QuickBooks or other accounting tools
- Demonstrated experience with human resources functions including onboarding, training & development, and employee relations
- Excellent organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment
- Effective communication skills for client interaction, team collaboration, and vendor negotiations
- Knowledge of medical office management or healthcare-related administrative procedures is a plus but not required
- Prior experience with event planning, calendar management, filing systems, and front desk operations is highly desirable
