Position Overview

We are seeking a detail-oriented Administrative Manager with strong operations and project management skills to support our growing company. This is a key role that blends executive support, operations coordination, and CRM oversight with a proven track record in managing administrative functions, supervising staff, and ensuring smooth day-to-day operations.

The ideal candidate is proactive, organized, and capable of managing diverse workflows — from vendor negotiations and travel logistics to healthcare program documentation and CRM reporting. This position reports directly to company leadership and plays a vital role in building systems and structure as the organization scales.

Key Responsibilities

  • Supervise two virtual assistants, manage calendars, coordinate meetings, and arrange travel for executives and field staff.
  • Oversee lead and project pipelines in Zoho CRM, ensuring accurate tracking, follow-ups, and automation.
  • Support project management activities — scheduling, deliverable tracking, and vendor coordination.
  • Handle confidential correspondence and company documentation with professionalism and discretion.
  • Create and manage SOPs, internal workflows, and reporting templates.
  • Assist with billing coordination, budget tracking, and credentialing tasks.
  • Communicate with partners across healthcare, construction, and administrative sectors.
  • Support recruitment, onboarding, and HR logistics for growing team.
  • Identify opportunities to streamline and automate administrative processes.

Qualifications

  • 3+ years of experience in administrative management, operations, or executive support.
  • Demonstrated project management experience (formal certification a plus).
  • Proficiency with Zoho CRM, Google Workspace, and other cloud-based productivity tools.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Proven discretion handling sensitive information.
  • Healthcare and/or construction industry experience highly preferred.
  • Strong analytical mindset with attention to operational detail.

Preferred Skills

  • Operations improvement skills, knows how to anticipate operation bottle necks and correctional measures
  • Experience creating or maintaining workflow automations.
  • Vendor and contractor coordination experience.
