Empower Kids Therapy is a growing private-pay pediatric occupational therapy practice based in the Winter Garden area. We serve families across Orlando in their natural environments (homes, schools, and daycares) and we're looking for a highly organized administrative and marketing assistant to support our team as we scale.
This is a part-time contract role starting at 10–20 hours per week, with the expectation of growing into a full-time position by fall 2026. Most work is remote and flexible, but we're specifically looking for someone local to the Orlando/Winter Garden area who can meet in person when needed.
What You'll Be Doing
Administrative & Operations
- Manage new patient intake requests and scheduling through SimplePractice (our EMR)
- Prepare intake call materials and coordinate logistics with our clinical team
- Maintain SOPs, internal trackers, and clinician schedules in Google Drive
- Manage client signature forms, billing workflows, and document uploads in SimplePractice
- Submit a weekly task and hours summary
Client Communications
- Send monthly newsletters, seasonal emails, and client reminders via FluentCRM
- Manage quarterly client calendar communications and service tracker updates
- Oversee annual campaigns: birthday outreach, holiday content, spring break scheduling
Website & Marketing
- Publish blog posts to WordPress
- Design graphics and materials in Canva
- Assist with social media coordination
- Record short internal training videos (screen recordings, platform walkthroughs)
- Help build a Google Maps service area visual for our website
What We're Looking For
- Strong organizational skills: you track your own deadlines and follow through without reminders
- Clear written communication: email is our primary work channel and client-facing materials need to be warm and accurate
- Tech comfort: you learn new platforms quickly; experience with Google Workspace, Canva, SimplePractice, or WordPress is a plus
- Attention to detail : the small stuff matters in a healthcare-adjacent environment
- Local to Orlando/Winter Garden: must be available for occasional in-person meetings
Nice to Have
- Healthcare or therapy office admin experience
- HIPAA awareness
- Social media content creation
- Experience with Gusto, Notion, or Calendly
Compensation & Hours
- Pay: $20–$25/hr depending on experience
- Hours: 10–20 hrs/week to start, growing to full-time by fall 2026
- Location: Remote/flexible with occasional in-person in Winter Garden
- Contract: 1099 to start
