Administrative Medical Assistant

Job Summary

We are seeking a highly organized, proactive, and patient-focused Administrative Medical Assistant to join our growing mental health practice. This hybrid role combines front office administrative responsibilities with clinical support functions, including prior authorizations and coordination of care.

The ideal candidate is detail-oriented, adaptable, and comfortable working in a fast-paced healthcare environment. You will play a critical role in ensuring efficient office operations, supporting providers, and enhancing the overall patient experience.

Duties

  • Answer incoming calls, route appropriately, and respond to patient inquiries with accuracy and empathy
  • Schedule, confirm, and manage patient appointments while optimizing provider schedules
  • Maintain organized and accurate patient records within the Electronic Health Record (EHR) system
  • Assist with document management, including scanning, uploading, and organizing patient documentation
  • Monitor incoming faxes and ensure timely distribution and follow-up

Clinical Administrative Responsibilities:

  • Complete and submit prior authorizations for medications and treatments (e.g., injectables, specialty services)
  • Communicate with insurance companies regarding coverage, denials, and appeals
  • Coordinate with providers and clinical staff to obtain necessary documentation for authorizations
  • Track authorization statuses and ensure timely approvals to avoid delays in patient care
  • Assist with prescription-related tasks, refill requests, and pharmacy communication
  • Support basic clinical workflows as needed, including assisting with patient flow and preparation

Experience & Qualifications

  • Previous experience in a medical office setting required; psychiatric or behavioral health experience preferred
  • Strong understanding of insurance processes, including prior authorizations, benefits verification, and appeals
  • Experience working with Electronic Health Record (EHR) systems
  • Knowledge of medical terminology, medications, and basic clinical workflows
  • Ability to multitask, prioritize, and stay organized in a fast-paced environment
  • Excellent communication and customer service skills
  • High attention to detail and accuracy in documentation

Pay: From $18.00 per hour
